As an administrator in Rainsbrook you will need to carry out a range of administration tasks for the centre. This includes liaising with the young people’s family, friends and professionals to arrange visits and transport. The senior management team will at times ask you do carry out tasks for them like photo copying, archiving, spread sheet management and making enquiries. You will also be expected to answer phone calls, take messages, respond to emails, transfer call that come to the centre and cover the reception area when needed. This role will be predominately split between the resettlement team and admin team. There will also be an expectation that you will carry out any reasonable request to complete administration based tasks from the senior management team. Key responsibilities Liaise with young people visitors to arrange a suitable time and sort out transport when appropriate. Support the senior management with administrative tasks Connecting callers to their contact or the contact most relevant to the general nature of their enquiry in a timely and professional manner. Booking taxi’s as required, notifying traveller once taxi has arrived so onward travel arrangements run smoothly. Attending meetings for the purposes of taking minutes where required and producing accurate notes. Working as part of the administration team, undertaking a full range administrative tasks as required. Reviewing and updating on a regular basis the staff contact and telephone extension lists Ensure effective communication with others to ensure the accurate recording of key data in line with company and contractual requirements Maintain a safe and secure environment for CYP, staff and visitors, and self and colleagues in line with STC rules, MTCnovo operating procedures and legislative requirements Follow security and operational policies, procedures and systems. Providing an full administrative service to the resettlement team as required. Ensure that robust, safe and effective systems, procedures and protocols are in place at all times to protect the data (including sensitive data) of all CYP, staff and centre related activities. Skills and Qualifications The post holder needs to understand and comply with the STC rules, procedures and protocols The post holder will operate within a demanding and target driven environment Experience in a customer facing role General administrative experience Good understanding of Microsoft office packages The salary for this role is £17,000 Closing date: 29th September 2017 Please send all applications to:
